Terms of Service
Last updated 15 October 2026
These Terms of Service (the "Terms") are a binding agreement between you and the operator of StagePanel. They govern your access to and use of the website at stagepanel.app, the dashboard at dashboard.stagepanel.app, the artist pages, release pages and smart links we publish for you, and every related feature, API and email (together, the "Service").
By creating an account, ticking the acceptance box on the registration form or using the Service, you accept these Terms and our Privacy Policy. If you do not agree, do not use the Service.
1. Who we are
StagePanel is operated by Bucky, a sole proprietorship (eenmanszaak) under Belgian law trading as BuiltByBucky, with registered office at Nieuwstraat 194/1, 3590 Diepenbeek, Belgium, registered with the Crossroads Bank for Enterprises under number BE0766978604 ("StagePanel", "we", "us").
You can reach us through the contact form on our website. Notices under these Terms sent through that form, or by email to the address shown in the dashboard, are valid notices.
2. Definitions
- Account: the login you create to use the dashboard.
- Artist (or Tenant): an artist profile you manage in the dashboard. One Account can manage several Artists.
- Artist Pages: the public website, release pages, smart links and notification forms we publish for an Artist on <slug>.stagepanel.app.
- Content: everything you upload or connect to the Service: artwork, audio previews, biographies, event listings, links, colours, logos and text.
- Fan: a visitor of Artist Pages, including a visitor who leaves an email address to be notified about a release.
- Plan: one of the service tiers described on our pricing page (currently Starter, Automate and Insights).
- Connected Platform: a third-party service you link to StagePanel or that we query for you, such as Spotify, Twitch, SoundCloud, Apple Music, YouTube and the streaming and chart data providers listed in section 6.
3. Eligibility and accounts
You must be at least 16 years old and able to enter into a binding contract. If you register for a company, label, management agency or other organisation, you confirm that you are authorised to bind it, and "you" includes that organisation.
You are responsible for keeping your password confidential and for everything that happens under your Account. Tell us without delay through the contact form if you suspect unauthorised use. Provide accurate registration details and keep them current; we may suspend Accounts registered with false information.
You may invite other users to an Artist (for example a manager or label staff). Everyone you invite must accept these Terms, and you remain responsible for their use of your Artists.
4. Plans, trials and billing
4.1 Plans
The features, limits and prices of each Plan are described on the pricing section of our website and in the dashboard. Prices are in euro. For customers in Belgium and consumers in the EU, prices include Belgian VAT where applicable; for VAT-registered businesses elsewhere in the EU the reverse-charge mechanism applies when you supply a valid VAT number at checkout. We may change prices for future billing periods with at least 30 days' notice by email; the change applies at your next renewal after the notice period.
4.2 Free plan and trials
The Starter Plan is free. Paid Plans may include a free trial, currently 7 days, that does not require a payment card. When the trial ends without a subscription, the Artist returns to the Starter Plan and paid features stop working; your Content is kept. One trial per Artist.
4.3 Subscriptions and renewal
Paid Plans are subscriptions billed in advance, monthly or yearly, through our payment provider Stripe. A subscription renews automatically for the same period until you cancel. You can cancel at any time in the dashboard ("Manage subscription"); the cancellation takes effect at the end of the paid period and you keep paid features until then. We do not pro-rate partial periods unless the law requires it.
4.4 Failed payments
If a renewal payment fails, Stripe retries it for a limited period and we email you. If payment is still outstanding after those retries, the Artist is downgraded to the Starter Plan. Amounts due remain payable.
4.5 Coupons
Coupons and promotional codes are valid only for the period and conditions stated when they are issued, may not be exchanged for cash and may be withdrawn in case of abuse.
5. Right of withdrawal and refunds
If you are a consumer in the European Union, you have the legal right to withdraw from a paid subscription within 14 days of the purchase without giving a reason, in accordance with Book VI of the Belgian Code of Economic Law. Because the Service is a digital service that starts immediately, you expressly request that we start providing it during the withdrawal period. If you withdraw, we refund the price paid less an amount proportional to the days the Service was provided before you told us. To withdraw, send an unambiguous statement through the contact form or by email; you may use the model form in Annex 2 of Book VI but you do not have to.
Outside that statutory right, fees are non-refundable, except that we refund the remaining paid period if we permanently discontinue a paid feature you rely on or terminate your Account without cause.
6. Connected platforms and third-party data
StagePanel works by connecting to platforms you do not control and that we do not control. In particular:
- Spotify: we read your artist catalogue (releases, artwork, release dates, popularity) through the Spotify Web API and, if you log in with Spotify, your public profile. Your use of Spotify content through StagePanel is also subject to the Spotify Terms of Use. Spotify content is shown as Spotify delivers it and may not be altered.
- Smart link platforms (Apple Music, YouTube, YouTube Music, Deezer, Tidal, Amazon Music, SoundCloud, Beatport, Instagram and the others in our platform list): we look up or let you enter the links to your releases, partly through the MusicFetch service. We do not host or stream that content; we link to it.
- Twitch: if you connect a Twitch account, our bot joins your channel to answer chat commands you configure. Twitch's terms apply to your channel.
- Soundcharts (Insights Plan): radio airplay, chart and streaming figures come from Soundcharts and their sources. They are provided for information, can be incomplete or delayed, and must not be relied on as an audited statement or for royalty claims.
We are not responsible for the availability, accuracy or terms of Connected Platforms, for changes to their APIs or for actions they take against your accounts. If a platform withdraws access, the related StagePanel feature may stop working and that is not a breach by us; where a paid feature becomes permanently unavailable, section 5 applies.
7. Your content and licence to us
You keep all rights in your Content. You grant us a worldwide, non-exclusive, royalty-free licence to host, store, copy, transcode, display, distribute and transmit your Content solely to operate, secure, improve and promote the Service as configured by you, for as long as your Content is on the Service, and for a short period afterwards in backups.
You warrant that you own or have the licences, including from co-writers, labels, distributors and photographers, needed to publish your Content through StagePanel, and that doing so does not infringe anyone's rights or the terms of a Connected Platform. Audio previews you upload must be clips you are entitled to make available; we may limit their length and format.
We may remove Content that we reasonably believe infringes these Terms or the law, and we will tell you when we do unless the law prevents it. Rights holders who believe Content infringes their rights can contact us through the contact form; we handle notices in line with the EU Digital Services Act.
8. Acceptable use
You agree not to:
- publish Content that is unlawful, defamatory, hateful, pornographic, or that infringes intellectual property, privacy or publicity rights;
- impersonate another artist, label or person, or claim a catalogue that is not yours;
- send fan notifications to people who did not sign up for them, or upload purchased or scraped email lists;
- use the Service, Twitch commands or smart links to distribute malware, spam, phishing or fraudulent offers;
- probe, scan, overload, scrape or reverse engineer the Service, bypass rate limits or access other Artists' data;
- resell or white-label the Service without our written agreement;
- use the Service in breach of Spotify's, Twitch's or another Connected Platform's rules.
9. Fan data and data processing on your behalf
When a Fan leaves an email address on your release page to be notified about a release, you are the controller of that personal data under the General Data Protection Regulation (GDPR) and we act as your processor. This section is the data processing agreement required by Article 28 GDPR.
- Subject matter and duration: storing Fan email addresses and sending release notifications in your name, for as long as your Account exists or until you delete the data.
- Nature and purpose: hosting, sending transactional notification emails you trigger by publishing a release, and showing the data to you in the dashboard.
- Data and data subjects: email addresses, sign-up time, the release signed up for and the time the notification was sent; data subjects are your Fans.
- Your instructions: we process Fan data only on your documented instructions, which are these Terms and the settings you choose in the dashboard. We do not use Fan data for our own marketing.
- Confidentiality and security: our staff are bound by confidentiality. We apply the measures described in our Privacy Policy (encryption in transit, access control, backups, logging).
- Sub-processors: you authorise the sub-processors listed in our Privacy Policy (hosting, file storage, CDN, email delivery, error and performance monitoring). We tell you of changes by updating that list and, for new sub-processors, by email at least 14 days in advance; you may object by terminating the affected feature.
- Assistance: we help you answer Fan requests (access, deletion, objection) and, where relevant, with security incident notifications, data protection impact assessments and consultations with supervisory authorities.
- Breach notification: we notify you without undue delay, and in any case within 48 hours, after becoming aware of a personal data breach affecting Fan data.
- Deletion and return: on your request through the contact form we export or delete Fan data within 30 days. When your Account is deleted we delete Fan data within 30 days, except for encrypted backups, which keep it for up to 12 months and then roll off. We do not restore backups except to recover from a disaster.
- Audit: on reasonable written request, at most once a year, we provide the information needed to demonstrate compliance with this section.
- Transfers: Fan data is stored in the EU; in transit it passes through the Cloudflare network. Any transfer outside the EEA takes place only under a valid transfer mechanism (adequacy decision or EU standard contractual clauses).
You are responsible for having a legal basis and a privacy notice for your Fans, and for honouring their requests. Your own privacy notice should name StagePanel as the processor that hosts the notification form and sends the emails.
10. Artist pages
Artist Pages are published at <your-slug>.stagepanel.app. Slugs are allocated first come, first served; we may reclaim a slug that infringes a trademark, impersonates someone, is inactive for more than 12 months on a free plan, or collides with a reserved path. We may show a small "Powered by StagePanel" notice on Artist Pages.
11. Availability, support and changes
We aim to keep the Service available around the clock but do not guarantee uninterrupted operation. Planned maintenance is announced in the dashboard when it is expected to be noticeable. Support is provided by email in English and Dutch on working days, on a reasonable-efforts basis. We may add, change or remove features at any time; if a change materially reduces a paid Plan, we tell you at least 30 days in advance and you may cancel with a pro-rata refund of the remaining period.
12. Intellectual property
The Service, its software, design, the StagePanel name and logo, and all improvements are owned by us or our licensors and are protected by copyright, trademark and other laws. Except for the limited right to use the Service under these Terms, no rights are granted to you. Feedback you send us may be used without obligation to you. Spotify, Twitch, Apple Music, YouTube, SoundCloud and other platform names and logos belong to their owners and are shown only to identify the destination of a link.
13. Suspension and termination
You can delete your Account at any time by asking us through the contact form; we carry it out within 30 days. Deletion removes your Artists, Artist Pages and Content and cancels subscriptions at the end of the paid period.
We may suspend or terminate your Account, or remove specific Content, with immediate effect if you materially breach these Terms (in particular sections 7, 8 and 9), if a Connected Platform requires it, if we are legally obliged to, or if an invoice remains unpaid 30 days after a reminder. In other cases we may terminate with 30 days' notice. Where we terminate without cause, we refund any prepaid period you did not use.
After termination we delete your data as described in the Privacy Policy. Sections 7 (as to past use), 9, 12, 14, 15, 16, 18 and 19 survive termination.
14. Warranties and disclaimers
The Service is provided "as is" and "as available". To the extent permitted by law, we disclaim all implied warranties, including fitness for a particular purpose and non-infringement. We do not warrant that release pages will rank in search engines, that platform links will remain valid, that chart or radio data is complete, that emails will reach every inbox, or that the Service will meet a particular revenue goal. Nothing in these Terms limits the statutory guarantees that consumers have under Belgian and EU law for digital services, including the guarantee of conformity under Book VI of the Code of Economic Law.
15. Limitation of liability
Nothing in these Terms excludes or limits our liability for death or personal injury, for fraud, for wilful misconduct or gross negligence, or for any liability that cannot be excluded under Belgian law.
Subject to that, we are not liable for indirect or consequential loss, lost profits, lost revenue, lost audience, lost data that you could have backed up, reputational harm, or loss caused by Connected Platforms, Fans or other third parties. Our total aggregate liability arising out of or in connection with the Service in any 12-month period is limited to the fees you paid us in that period, or EUR 100 if you paid nothing.
If you are a consumer, these limits apply only insofar as they are permitted by the mandatory consumer protection rules of your country of residence.
16. Indemnity
If you use the Service for business purposes, you will indemnify us against claims, damages and reasonable costs (including legal fees) brought by third parties arising from your Content, your Fan data, your breach of these Terms or of a Connected Platform's rules. We will notify you of such a claim promptly and let you take over its defence where appropriate.
17. Changes to these Terms
We may update these Terms, for example when we add features, change providers or when the law changes. We publish the new version on this page with its date and, for material changes, email Account holders at least 30 days before they take effect. If you do not agree with a change you can cancel before it takes effect; continuing to use the Service after that date means you accept the new Terms. The version in force at any time is the one published at stagepanel.app/terms.
18. Governing law and disputes
These Terms are governed by Belgian law, excluding its conflict-of-law rules and the United Nations Convention on Contracts for the International Sale of Goods. The courts of Hasselt, Belgium, have exclusive jurisdiction, except that if you are a consumer you may also bring proceedings in the courts of your place of residence, and mandatory rules of that place that protect you continue to apply.
Before going to court, please contact us so we can try to resolve the matter. Consumers in the EU may also use the Belgian Consumer Mediation Service (Consumentenombudsdienst, North Gate II, Koning Albert II-laan 8 bus 1, 1000 Brussels, consumentenombudsdienst.be).
19. General provisions
- These Terms, the Privacy Policy and the Plan description at checkout form the entire agreement between us about the Service and replace earlier agreements.
- If a provision is held invalid, the rest remains in force and the invalid provision is replaced by a valid one that comes closest to its purpose.
- Not enforcing a right is not a waiver of it.
- You may not assign your Account or these Terms without our consent. We may assign them to a successor of the StagePanel business, and will inform you when we do.
- Neither party is liable for failures caused by events beyond its reasonable control (force majeure), including outages of Connected Platforms, hosting providers or the internet backbone.
- These Terms are written in English. If we publish translations, the English version prevails in case of conflict.
20. Contact
